Initial setup

EasyStep Interview

If your industry is specified by QuickBooks, the EasyStep interview can make your setup go quickly and greatly simplify it. In the following cases, the ProAdvisor can offer assistance for your set up:

  • The ProAdvisor can advise you Where you are converting to QuickBooks from another accounting software (mid level, Peachtree, Quicken, Small Business Accounting by MicroSoft, and Office Accounting).

  • The ProAdvisor can assist when importing lists or building lists to QUickBooks quickly and efficiently (customers, vendors, payroll items)

Cash or accrual basis

For new businesses, this election has serious tax consequences. I wish that the tax consequences were the same for all industries and entity (corporation, LLC, sole-proprietor, partnership, etc.), but they are not. The ProAdvisor can discuss these consequences so that the business owner can make the best decisions. This makes tax time easier, especially if your tax man is the same as your ProAdvisor man (as in the case of James M. Alga, CPA).

Fine tuning payroll setup

The EasyStep interview creates payroll liabilities, but the ProAdvisor can assist in helping you decide on several things beyond that:

  • The chart of accounts can be expanded, include a greater definition of payroll expenses and tax expenses. This is especially helpful when the QuickBooks user desires to bill customers for services using the payroll items. This contributes to efficiency and eliminates keystrokes.
  • The ProAdvisor can be of invaluable assistance if you are implementing payroll after the beginning of the year with after the fact payroll assistance to jump start the process.
  • If set up correctly from the beginning, QuickBooks makes paying payroll taxes and liabilities timely and easy. QuickBooks will trigger you for the due dates, tell you the type of tax (if set up correctly), and how much is due at that date. The user can even draw the check for payment of the liability through the payroll module for easy integration to your bank register.

Inventory

While QuickBooks will automatically set up inventory, the ProAdvisor can make sure that you get the most out of your reports, expecially job report, which depend on the proper setup of double sided items. Setting up items correctly from the get go is important because some item types cannot be changed once set:
  • Service items
  • Inventory Assembly items
  • Subtotal items
  • Discount items
  • Payment items
  • Sales tax items
  • Sales tax group items

Data work flows

The ProAdvisor can offer counsel and advice on how the QuickBooks data flow works in the purchasing cycle:
  • Estimates
  • Purchase orders
  • Accounts payable
  • Bills paying and applying credits

Understanding these flows helps populate the data needed for reports and keeps the vendor files accurate, both of which are important
